About You
This new and exciting opportunity is for someone who has secretarial and administrative experience and can work independently. You are someone who takes initiative and understands the value of the support you are providing to your team; your commitment and integrity to your work makes you a key player! When it comes to communication skills, you always have a diplomatic approach as you will be closely working with directors and senior officials of the Risk, Audit and Compliance Team as well as external stakeholders.
Position Summary
The Administration Officer provides direct, support to the Assistant Director, Compliance & Quality and the broader Education Regulations Team. The role requires general administration functions relative to international compliance reporting and the broader education provider regulatory work of the team. The role is responsible for the diary and generic email account management of the team, drafting correspondence, presentations and team reports, organising training schedules and ensuring that actions arising from correspondence and meetings are completed in a timely and appropriate manner.
The role is also responsible for co-administering the student loans program for some overseas students enrolled under financial loans (US Government) and entitlements, working closely with RMIT Financial Services. The role will also coordinate the general office administrative and undertake regulatory data entry requirements of the team. The incumbent will undertake special projects, coordinating events in conjunction with Group activities and supporting the development and implementation of strategic and operational requirements of the broader RAC group.
To be successful in this position, you'll have:
* Demonstrated experience in the delivery of administrative services in an education or other heavily regulated sector.
* Demonstrated ability to work effectively, flexibly and collaboratively with colleagues within and beyond the immediate work unit, including to external and overseas stakeholders, contributing to the achievement of team goals and compliance requirements.
* Proven experience in an administrative role with a high level of independence, confidentiality and organisational skills in a large and complex organization, with access to sensitive and confidential information.
* Demonstrated highly developed interpersonal, oral and written communication skills whilst ensuring confidentiality is maintained.
* Be able to manage and apply judgment when entering batches of data, financial records and information into local systems and external data bases with accuracy and attention to detail.
* Demonstrated experience in the provision of high-level secretarial support to working groups, committees and in training activities.
* Proven ability to prioritise tasks and work in a pressured environment that requires flexibility and decision making to achieve deadlines with minimal guidance.
* Proven ability to work effectively as a member of a team and agility to work across varied tasks.
* Demonstrated high level of computer literacy, including, electronic document management, word processing, databases, presentation software, email and internet research tools.
* A knowledge and understanding of the tertiary or multi-sector education environment is highly desirable

About the Portfolio
The Finance and Governance portfolio partners with other areas of the university in achieving the organisations objectives, by strategically orienting its provision of financial, legal, analytics, risk and assurance and secretarial services to the delivery of the core operations of the university.
The Risk, Audit and Compliance (RAC) team undertakes audit and risk management programs of activity as approved by the Audit and Risk Management Committee (ARMC) of Council. These programs are practical in nature and extend across RMIT and its controlled entities.
The principal functions of the team are to provide management and the Council with independent and objective assurance that the financial and operational controls designed to manage the University's risks and achieve the University's objectives are operating in an efficient, effective and ethical manner, and to assist management in improving the University's and its operating entities' business performance.
The RAC function also provides strategic and operational guidance and support to RMIT on the development, implementation, monitoring and review of frameworks to manage compliance in operational areas; undertakes activities to monitor and improve compliance performance and culture throughout the RMIT Group and to provide compliance assurance to senior executive staff and the University's Council. The management of RMIT International Student Compliance sits with this function.
