About You
The SSO will work collaboratively with the higher apprenticeships project team, Future Social Services Institute, our delivery team, industry, and students to support the coordination of the project program structures and delivery models for higher apprentices.
 
The role will excel at providing customer service to staff and students to assist in the coordination of, and participation in, activities including, but not limited to, student lifecycle services, course and program management activities, information management, events and process improvement activities. The role will be responsible for the management and resolution of complex queries from staff and students and will be required to maintain productive working relationships to provide timely solutions.
 
To be successful in this position, you'll have as a minimum:
* Highly developed interpersonal skills and proven ability to build and maintain strong collaborative working relationships with a variety of internal and external stakeholders.
* Excellent problem-solving skills, including demonstrated experience developing and delivering complex written reports to a high standard and with a high level of attention to detail.
* Demonstrated experience in providing high quality customer service to internal and external stakeholders and experience managing complex queries in a fast-paced, large scale environment.
* High level oral and written communication skills, with a proven ability to communicate effectively with a broad range of individuals and groups from diverse backgrounds.

Executive Assistants (Multiple Positions)

The Opportunity:
We are seeking Executive Assistants (EA) for the APS 4 and APS 5 classifications to provide high-level executive and administrative support to our NIAA Executive. This includes diary management, coordination of meetings, management of incoming communications and Branch/Group support as appropriate. The role also requires working closely with our internal EA and Executive Officer networks to actively build on your strengths and encourage a supportive culture for learning and development opportunities for all EAs. Working under limited direction and closely with our Executives you will undertake operational and administrative duties to support the Agency.

This recruitment process will be used to fill a number of immediate vacancies and to establish a merit pool that can be accessed for a period of 12 months from the date of advertisement.

APS 4 Executive Assistants

APS 4 Executive Assistants support up to two Branch Managers (SES Band 1) and coordinate the fast-paced, high volume administrative functions and operations of the Branch Managers’ work places. NIAA EA’s actively participate in the NIAA Executive Assistant cohort and contribute to the NIAA’s organisational culture. EAs actively uphold and promote NIAA’s Values and Behaviours as well as the APS Code of Conduct and Values throughout the organisation.

The duties of the APS 4 Executive Assistant roles generally include, but are not limited to:

  • Act as the first point of contact for your Branch Manager(s) provide high level client services to all internal and external stakeholder including assisting with enquiries, correspondence and operational issues.
  • Support senior officers as directed by proactive diary and email management, control and coordination of correspondence and other documentation (both electronic and paper based), conduct minor research, and use office systems efficiently and effectively.
  • Organise meetings including drafting agenda, collation of papers, venue and catering as required.
  • Organise travel arrangements.
  • Coordinate personnel support for the senior executives by managing staff onboarding, separations and HDA requests.
  • Undertake procurement activities, including credit card reconciliation and compliance reporting appropriately.
  • Manage computer-based applications for the work area and prepare associated reports.
  • Undertake filing and records management functions ensuring records are accurate, complete and are managed in accordance with departmental policy and legislation.
  • Ensure compliance with internal policies and required legislation.
  • Other duties as required to support the branch(es).

 
APS 5 Executive Assistants

APS 5 EAs will support a Group Manager (SES Band 2) and coordinate the administrative functions and operations of their work place.
 
In addition to the above, duties of the APS 5 Executive Assistant roles include, but are not limited to:

  • Provide high level administrative support to senior executives.
  • Work with the Executive Officer (EO) to provide coordinated and highly professional support to the SES and the Group.
  • Conduct research, control and coordination of correspondence and other documentation; including quality control and preparation of more complex correspondence and reports.
  • Exercise financial delegations appropriately and effectively.
  • Maintain computer-based applications and manipulate data to provide stakeholders and senior management with timely, accurate and useful data and reports.
  • Respond to requests from stakeholders and senior management for information or advice on policy, administrative or operational matters including advice of a technical or specialist nature.
  • Assist, mentor and effectively engage with other Executive Assistants to foster a one team focus within the Group and across the organisation as part of the NIAA Executive Assistant leadership network.

 Our ideal candidates will be administrative and/or Executive Assistant professionals who are self-starters, have good judgement, are organised, and results oriented. As the ‘first point of contact for the office’, you will interact positively with a range of internal and external stakeholders. You will bring your senior executive support experience and show a demonstrated capacity to liaise effectively and work professionally with a diverse range of people. You will have great attention to detail with the ability to adapt to competing priorities and stay focused in a fast paced and high pressure working environment. You should also be comfortable working with technology and operating in a flexible and dynamic workspace.

In addition, our ideal candidates will have the following skills and experience:

  • A high level of professionalism, discretion, sensitivity and interpersonal skills.
  • Demonstrated resilience and proven capacity to work in a fast paced and often high pressure environment with limited supervision;
  • High level organisational skills and excellent time management with the ability to multi-task and work under pressure to meet deadlines.

As the Student Lifecycle Services Coordinator (Student Engagement), you will share responsibility for the management of student lifecycle processes across programs, modes and locations. The successful applicant will provide case management and case coordination to male users of violence that promotes accountability and responsibility, implementing collaborative and creative strategies towards behavioural change whilst keeping the Safety of Victim survivors including Children and the centre of the work.

Core Duties:

  • Provide case management and effective case coordination
  • Undertake Family Violence Risk Assessments’
  • Provide ongoing analysis of safety, risk, and wellbeing
  • Make appropriate referrals and connections
  • Keep and maintain client records in line with quality assurance requirements
  • Engage with partnered organisations, services, and stakeholders to ensure multi-disciplinary interventions are available
  • Abide by all privacy and confidentiality policies and laws as described by BWAHS

About You

To be considered for this role, you will have strong knowledge and understanding of Aboriginal and Torres Strait Islander families, communities, and culture. You will also have a developed understanding of the issues underpinning the impacts of intergenerational trauma and family violence.

Essential

  • Current Victorian Driver’s License

  • National Police Check

Desirable

  • Tertiary qualification or willingness to obtain one in a field relevant to the position
  • Experience working in the family violence sector or related areas would be beneficial but not essential
  • First Aid Qualification

This is a critical community service and requires understanding, passionate and dedicated individuals to lead the change and promote the Healing journey to Aboriginal and Torres Strait islanders impacted by Family violence and intergenerational trauma.

About the Role:

The STEM College within RMIT University is seeking an Application Developer with Microsoft Power Apps and Power Automate skills for a casual contract until December 2021. Starting as soon as possible, this role will potentially work across a few projects aimed improving the STEM College processes.

This will suit someone with experience with Power Platforms, who thrives in a fast paced, collaborative team environment.

To be successful in this position, you'll have as a minimum:

* Experience developing software in particular using Microsoft Power Apps

* Experience with process automation and Microsoft Power Automate

* Experience with troubleshooting and debugging applications

* Database management, experience with Microsoft Dataverse & SharePoint is advantageous

* Ability to
understand the stakeholders needs, university systems and environment, and offer a viable technical solution

* An understanding of user experience and producing solutions that are responsive and contextual to stakeholder needs

About You

The Compliance Manager – Enterprise is responsible for providing extensive support and advice in the design, development and implementation of enterprise compliance management initiatives to give effect to the RMIT compliance framework- working directly with stakeholders to influence a coordinated approach to compliance management across the RMIT Group. This role will also provide high level advice and compliance oversight across the University on emerging compliance obligations impacting RMIT operations.
To be successful in this position, you'll have as a minimum:

* Extensive experience in an enterpr
ise compliance or governance role
* Knowledge and practical experience of regulatory and industry standards for compliance management systems and experience in designing, implementing and/or carrying out compliance management initiatives.
* Highly developed diagnostic, analytical and problem-solving skills to identify risks and opportunities and to drive practical creative solutions to implementation.
* Excellent interpersonal communication, influencing and relationship building skills with the ability to effectively communicate across a broad audience in complex and often challenging contexts.
* Highly developed project management, report writing and training skills.
* Ability to work both collaboratively and independently, and to influence stakeholders.

About the Portfolio
The Finance and Governance portfolio partners with other areas of the university in achieving the organi
sations objectives, by strategically orienting its provision of: financial; legal; analytics; risk; compliance assurance; and secretarial services.
The Internal Audit, Compliance, Risk and Regulation function provides strategic and operational guidance and support to RMIT on the development, implementation, monitoring and review of frameworks to manage compliance in operational areas; undertakes activities to monitor and improve compliance performance and culture throughout the RMIT Group and to provide compliance assurance to senior executive staff and the University's Council. The management of RMIT Privacy compliance sits with this function.
